Meeting Minutes: August 20, 2020

  • Meeting convened at 7:12 PM
  • 04/23/20 Meetings Minutes Approved
  • Protective Covenants
    • Members voted 35 In Favor & 8 Opposed
    • In addition to the 8 opposed, the Board received material comments and suggestions that would significantly impact the community
    • The board unanimously voted against the adoption of the covenants and will revise the covenants in special session
  • Financial Report
    • Our budget was unfavorably impacted by late changes to the Town’s budget which reduced the HOA entry maintenance contribution from $2,000.00 to $0.00. This will result in a $2,000 shortfall to our 2020 budget.
    • Due to COVID, we have elected not to host a summer social this year. The budget for the summer social is $1,300 and that the savings will off-set some of the shortfall related to the town’s reduction in funding.
    • We’ve paid $530 for seasonal flowers
    • Per the advice of legal council, the Board will focus on building reserves for the HOA over the next few years to establish a contingency fund of $55,000  
    • The The current balance of our account is $11,956.87
  • Landscaping / Maintenance
    • Problem trees in the ditch have been successfully mitigated.
    • The pocket park is connected to the irrigation system at 1 Middlefield and that resident is compensated for keeping the park watered. This summer this park was not watered in accordance with that agreement and the board will seek to be reimbursed. We will work to resolve this issue before next spring to ensure the park is maintained.
  • Design Review Report
    • 9 Village Drive – Unapproved landscaping changes. The board will address via letter.
    • 7 Middlefield – Removal of two street-facing trees has been approved. 
    • 15 Village Drive – Concrete work has been approved.
    • We will be working to streamline the approval process and reminding residents of the HOA requirements to secure board approval prior to scheduling or commencing any work to the exterior of their homes.
  • Other Updates
    • The Board is seeking new board members and committee members. 
    • Neighbors have continued to express concerns related to the traffic and safety issues prevalent in the community and the “wall” project continues to be front of mind. We will be forming a special committee to assist with this project.
