Called to order at 6:45
All members brought copies of the previous meeting notes, which were approved.
Treasurer’s report—Jim Howard—presented the Profit & Loss Statement and the Balance Sheet.
The P&L and Balance sheet are attached. After all the issues were discussed and cleared, the report was accepted.
Website Update – Jeff Brooks – He will investigate costs of the program and adjust to accommodate our needs. We anticipate issuing a newsletter after each HOA Board meeting-4 times annually. Plan to do this electronically and hand deliver only those necessary. Bills for dues will be mailed at the end of this month or early February. A request will be included to forward the email address.
Landscape & Maintenance report – Corey Siegel—some work has been done on the entrance park and along the wall. There is a communication problem and an unpaid bill, which Corey will take care of. Jim Roller, Corey and Jeff will take down the Christmas lights on Sunday morning 1/16/12. Discussion of weeds in gutters = it was decided to check cost by people who do outside fence or do it ourselves.
Old Business: Christmas party was a success. Lovely home with great facilities to entertain children guests. Discussion of whether to open up this party to families, or limit it to adults. Decision will be made in advance of party in 2012. Jeff and Lisa will compile a guideline for next year’s host: how much food (we seem to be a small food, large drink community) liquor etc.
Garage Sale: we have no expenses for this event.
Discussion of the sandwich boards, which advertise coming events, brought forward the idea to enlarge them. Jeff assured us that is doable.
The need to limit “cut through” traffic was well discussed. Jim Roller has found that the Town owns a mobile unit, which tells the driver his speed. This is available to us and will be utilized. Also we need an officer on duty to ticket those who ignore the stop signs. Significant problem, which we need to solve.
Lighting of our entrance on Middlefield road needs to be increased, at night it is difficult to read. Also a suggestion to install a larger stone sign reading THE VILLAGE at minimum cost will be investigated. Perhaps move the sign to #1 Middlefield for easier id.
Action items:
Each Board member will bring to the next meeting-April 3rd-a job description as detailed as necessary of his job. It is our goal here to help each member identify his job for the next person.
Jim Roller will continue to deliver Welcome Baskets.
Jim Roller will check out the mobile speed monitoring unit.
Jim Howard will investigate the cost of a larger sign
Corey Siegel will take care of Pocket Park and weeding costs.
