Meeting Notes from May 9, 2011

Jim Roller called the meeting to order @ 6:30 p.m.

Jan Ford read the minutes from the previous meeting and they were approved as read.

Discussion of organization for minutes reporting. Goal is to keep succinct, add “Action Items” so each Board Member can follow through. Secretary will forward to President for editing, then to each Member for editing, then final will be published.

Treasurer, Jim Howard, reported no changes. Refer to last meeting report.

Architectural: Jeff Brooks, reported #7 Village Dr. will be adding shutters railing around front porch, everything is within Bylaw guidelines.

Website: Jeff Brooks displayed the updated, user-friendly site. He has done extensive work and will be constantly updating, adding information for our neighborhood. Access is: villagecv.com. Plans were made to actively use this resource. Jeff will add a list of recommended resources for home remodel and maintenance services for all of us. This is obviously not a guarantee from the homeowner, but a reference of good work he or she has experienced. Ideas advanced for website: post our meeting agenda, invite Villagers to attend, invite neighbors to participate in all activities, advance dates of parties, garage sales, etc. Jeff was applauded for his work. Board felt it will add a very necessary voice of us.

Landscape & Maintenance: Corey Siegel reported flowers & mulch will be added to the entrance on Platte Canyon next week. Outside of the fence maintenance was discussed and will be closely watched by Corey & Bill Weider. The light at that entrance is being comprised by an electrical problem, President advised Corey to use our funds to have it repaired/replaced by a reputable company since this is original equipment.

Old Business: Summer Party-Nancy Howard will chair. Date is June 9th 6:00-8:00 at the pocket park on Village Drive. Will ask party-goers to bring their own chairs. Tables will be provided by Jim Roller and Nancy.
Food: hot dogs, hamburgers chicken, condiments & ice cream will be ordered through Corey. All other food/soft drinks/paper goods is a “Costco run” by Nancy. Jim Roller is responsible for beer & wine ordering/delivery.
Notices to be put in each mailbox will be designed by Jeff. The Mayor of Columbine Valley has been invited by Jim Roller and we look forward to his attendance. Jim will follow through.

Garage sale: June 11th, 8:00 a.m. coordinated w/Burning Tree and the Villas. Advertising on Craigslist. Signs will be posted.

There is a dispute about the lot line between 34 Village Drive and 11 Village Court.

If there are post light not lit, a form letter will be sent to the homeowner, better action is one-on-one meeting, or a neighbor reminding that all post lights need to be monitored. We are pleased to use this type of street lighting.
The house at 24 Village Dr has an electrical problem at the post, Architectural Committee will follow through.

The need for a regular newsletter was discussed, not all residents use the internet. Jan will write & distribute. Jeff will set up. At this time it was decided to do a newsletter as needed.

Discussions: Pocket Park, who owns it? liability? rename to Village Commons? How to get the children to clean up after their play in the ditch? (letter to parent or meeting with them).

Welcome baskets: Jim Roller will greet each new family, present basket, welcome and give information about the HOA/Town/Littleton. This he will do consistently as was done in the past. By presenting each new resident with a Directory many of their concerns will be addressed.
