Secretary Report and reading of minutes from last meeting (5-9-2011) by Jim Roller as Jan Ford was unable to attend – discuss and approve.
Last meeting notes were accepted.
Treasurer’s report – Jim Howard – General fund income is down due to residents from 2010 catching up on past dues, and 2011 dues are back to normal level. Accounts payable are awaiting reimbursement checks being written. We reviewed a list of residents that are past due on HOA fees, and the total past due since 2003 is $560. Restricted income is on track with last year. We have spent close to what’s been budgeted. We are going to research whether or not the small park maintenance could come from restricted funds. Jim Howard will research with Bill Weider and Ann Jennings at City of CV.
Web site update – Jeff Brooks – we should archive of newsletters on site as pdf’s. We need to setup a time for newsletters going out, we need to promote the toys for tots party that Corey hosts on Dec 3rd. Quarterly newsletters will be mailed/emailed within 3 weeks of meeting Board member articles will be due within one week of meeting. We have decided to have board members contribute to each newsletter. The question was asked about whether or not we should we post city guidelines on required permits on our site. Look at creating login information for board members to contribute to the site. Possible special interest pieces like deer and baby running the neighborhood. Possibly create a FAQ for new residents.
Landscape and Maintenance report – Cory Siegel – We decided to reach out to the person that is landscaping the entry points and reset expectations of what’s being done for the amount of money we are paying. Corey will contact her to discuss what should be done each season. Corey and Jim Roller have offered to setup the holiday decorations the weekend after Thanksgiving. Going to address the weed issue along Platte Canyon.
We should create a standard operating procedure for each board members section.
Old Business: Summer party – discuss the 6-9-2011 party – successes and suggestions for next year. Pictures are up on site. We should invite local fire and paramedics. It was great to have a tent and seating.
Garage Sale – discuss the 6-11-11 community garage sale – successes and suggestions for next year. Overall we are very pleased with the traffic and success of the garage sale.
New resident greeting baskets were delivered to: Becky & David Shefte at 24 Village Drive, Greenfields at 6 Village Court, David Marshall at 27 Village Drive, Gunliksons at 19 Village Drive, Leitels at 9 Middlefield.
New Business:
Christmas Party – date, host and hostess and who will take the organization & coordination job? Discuss and decide. Jeff and Lisa Brooks will host the Christmas party on Dec 13th from 7 to 9 PM. Party will be catered and beer and wine will be provided.
Building permits – guidelines were published in the Town of Columbine Fall Newsletter and probably should be published in our HOA newsletter. We discuss and decided not to publish. Guidelines were published by the city via a newsletter and don’t need to be redistributed through our newsletter.
Scheduled Board meetings for 2012 – Discuss, decide and post on web site. The first Tuesday of the first month of each calendar quarter, at 6:30 PM at the Columbine Valley Town Hall. This provides dates for the meetings of January 10, April 3, July 17 and October 2, 2012. Discuss, confirm and post on website.
Action items and notes from this meeting: Pocket Park – can we use restricted funds for maintenance? Should we consider closing the west entrance for inbound traffic to control the cut through traffic and related problems?
